The Role

Project Coordinator – Corporate Real Estate Projects

To be responsible for the implementation and delivery of a consistent and efficient property management support and administration services in a corporate clients head office.

Effectively manage the reporting and administration between the Client, Mace PM and the Supply Chain Partners to ensure that an exemplary internal coordination and customer service is provided to the Client and internal customers.

Responsibilities Include

  • Working closely with the Account Manager in supporting the day to day operations.
  • Client/Mace Program Reporting
  • Contract procedures and review
  • Purchase Order and Project Authorization tracking
  • Change Control compilation and tracking
  • Client and Project-level issue tracking
  • Development and distribution of Client Communications
  • Contractor diversity compliance
  • Quality Management; monitoring QA/QC execution and reporting
  • Process improvement implementation
  • Monthly and Quarterly KPI collation
  • Support invoice and change order approval
  • Organize maintain accurate program records and project documents.
  • Record accurately any information provided by client and suppliers via correspondence and upload to the client’s storage database.
  • Communicate and escalate all relevant information to the team.
  • Coordinate and participate in Team Meetings and record and distribute minutes.
  • Assisting Finance Team when required.


Experience, Knowledge & Skills

  • Minimum of three years’ experience in a similar environment
  • IT literate with Word and Excel experience
  • Capable of working using own initiative
  • Relationship management expertise
  • Strong communication and organization
  • Self-motivated and inquisitive
  • Ability to think strategically
  • Ability to interface at all levels
  • Excellent numeracy skills
  • Excellent written and verbal communications skills in English
  • Experience in working with multiple stakeholder
  • Ability to evaluate and distinguish response method
  • Positive and proactive approach to problem solving
  • Approachable and committed to team working
  • Minimum of 2 years’ experience with project documentation and procedures
  • Experience leading on-site stakeholder interaction
  • Knowledge of process and systems development


  • Degree Qualifications is preferred but not essential.
  • Professional Memberships are an advantage but not essential.
