The Role

Building Services Coordinator / Administrator

To provide an effective Building Services administrative service within our blue chip outsourced Facilities Management contract at Norton Rose Fulbright LLP, a top ten global law firm.

Responsibilities Include:

  • Collating data and preparing data for the Annual Legal Sector Alliance and CRC reporting
  • Maintaining and collating data for our Environmental database for the Carbon Trust Standard, this will include the following: Travel, Energy, Water, Grey Fleet, Fgas,Paper Consumption.
  • Collate and capture consumables office product data each month on environmental impact and reporting
  • Prepare purchase orders, assist with setting up Capital Project codes and then upload codes on to the purchase order system
  • Maintaining records and updating the Capital Project Plan
  • Assist with the administration of the Trainee moves
  • Data for monthly tenant’s utilities statements
  • To assist and support the Account Manager and Building Services Manager with data collation / reporting/development/monitoring as required
  • Assist with the monitoring and data collection of customer satisfaction calls
  • Maintain records of Building Services equipment, maintenance schedules
  • Maintain Building Services databases, ensuring records are kept up to date
  • Keeping checklists, registers inventories up to date and fit for purpose
  • Keeping a calendar of routine Building Service tests, checks and inspections (weekly, monthly and annual) and making sure that these happen and the paperwork is raised
  • To ensure services are delivered in accordance with the requirements of the SLA’s
  • Work with others to share knowledge, improve business processes and raise the standards of performance
  • Seek to continuously improve the service offered to Norton Rose Fulbright LLP to ensure it is always at the forefront of industry best practice
  • To ensure contracted KPI’s and performance reporting is met in a timely manner
  • To maintain excellent customer service at all times
  • To promote Safety First Second Nature (SFSN) at all times


Experience, Knowledge & Skills

  • Well organised and systematic approach to work
  • Able to keep tabs on several overlapping tasks while maintaining good records
  • Ability to communicate effectively
  • Excellent numeric, organisational and planning skills
  • Team player
  • Able to look at the ‘bigger picture’ to plan for the future
  • Previous experience in an administrative role is essential
  • Strong IT skills - you will be proficient in the use of MS Word and Excel
  • Excellent administration skills
  • Attention to detail is a key skill required for this position
  • Excellent customer service / Client focus
  • Approachable and committed to team working
  • Positive ‘Can Do’ attitude


  • Educated to GCSE / O level standard or above.
  • Professional Memberships are an advantage but not essential.
