Workplace Effectiveness Manager

The opportunity

Responsible for formulating workplace innovation and solutions for the company – the primary point of contact for the implementing and promoting new ways of working, including Colab, Agile, Flexible and Activity based. To co-ordinate and work with various stakeholders over several disciplines including FM workplace services, office design, occupancy management, project management, supporting systems, processes and technology.

The candidate will be responsible for delivering new workplace environments as well as maintaining existing workplaces. As such, the role spans across both FM and PM services with a focus on client relationship management and stakeholder management requiring partnership with Corporate Affairs, Group Technology & Operations, Compliance, and Human Resources.

The role will be responsible for delivering workplace effectiveness across Europe, UK and Americas and will be supported by a Workplace Performance Manager and a Regional Design Manager.

Your responsibilities will include:

  • Reporting directly into the regional workplace lead (EA).
  • Driving down vacancy where possible and improving flexible working ratios.
  • Improving the working environment and customer experience.
  • Identifying and implementing opportunities for improvement and acquisition of relevant best-in-class practices.
  • Providing support to the projects team at all stages of the project life cycle.
  • Handling CAD test fits and building analysis.
  • Ongoing occupancy management and space planning.
  • Developing monthly reports in line with departmental objectives and KPI’s – presenting this data in a clear format for management review.
  • Minimising business impact during transition to new ways of working.
  • Developing appropriate understanding of user needs and work processes to determine appropriate workplace solution.
  • Leading and coordinating all activities related to the delivery of workplace solutions.
  • Maintaining active relationships with the project team to ensure the successful delivery of workplace solutions.
  • Working with the regional design manager (or production hub) and provide input on developing layout plans that satisfy workplace requirements.
  • Ensuring that any new workplace environment delivered is successfully transitioned to business-as-usual while working in partnership with property FM, GTO and HR, compliance and operations.
  • Complying and delivering workplace solutions that comply with the company’s policies on information security, compliance, health and safety, etc.
  • Managing production of documents as necessary to fulfil the requirements (e.g., move plan, seating plan, communications plan, communications vehicles, transition management plan)
  • Interacting with end users to resolve their workplace queries and issues during delivery
  • Coordinating with the business alignment team with regards to determining user workplace needs and space requirements.
  • Synthesising and testing workplace scenarios to identify achievable opportunities for regional and country strategies and solutions across the company’s global property portfolio.
  • Reporting workplace performance KPIs for consideration and review by global workplace performance.
  • Supporting local property teams to develop workplace property strategies that achieve the directional KPIs.
  • Championing the workplace performance KPIs and outcomes to gain buy-in from company businesses and functions and property regional teams.
  • Establishing effective review and communications structure to compliance with retail and commercial office related legislation and regulations.
  • Developing expertise in the application of activity based working and associated FM playbooks and imparting knowledge on the subject to colleagues.
About you

  • University Bachelor’s Degree or equivalent in Architectural or Interior Design or equivalent.
  • Post graduate qualification, Master’s degree in a discipline relevant to corporate workplace design.
  • Strategic and Operational FM knowledge gained from a workspace management role or a FM consultancy role.
  • Experience of relocation and workspace transformation projects.
  • A design background with a thorough understanding of applying design standards in both retail and office environments.
  • An understanding of workspace analytical, data collection and space planning techniques
  • Strong communication skills in the written and spoken word.
  • Computer Literate in MS office with proficiency in AutoCAD.
  • Strong client focus with ability to build strong internal and external relationships.
  • Formal training or education in Health and Safety management.
  • WebCoRE experience.
